Wallet & Service Use Case Analysis
Studied customer wallet usage, recharge flows, invoice deductions, and service request workflows.
The Khadamat Wallet System is an enterprise-grade web-based wallet and service management platform developed by Webotix to manage customer wallet balances, service payments, invoices, and on-call service requests within a unified digital environment. Built as a Phase-1 web application, the system consists of two core portals: a Customer Web Portal and an Internal Khadamat Management Portal. The platform integrates directly with ERP and CRM systems, where ERP serves as the financial source of truth for wallet balances, invoices, and transactions, and CRM manages customer details, contracts, and service operations. The primary objective of the system is to provide customers with a transparent prepaid wallet mechanism while enabling Khadamat teams to monitor financial transactions, service requests, and customer activities in real time.
Khadamat required a centralized web-based solution to manage prepaid customer wallets, service payments, and operational service requests while maintaining strict financial and operational control. Prior to the Khadamat Wallet System, wallet balances, invoices, service scheduling, and customer communication were managed across multiple systems, creating challenges in visibility, synchronization, and reconciliation. The client needed a secure, ERP- and CRM-integrated enterprise web application that would allow customers to manage wallet balances and services digitally while enabling internal teams to monitor transactions, services, and customer interactions through a single platform.
A centralized enterprise web platform that enables customers to manage prepaid wallet balances, pay for services, and raise service requests, while allowing Khadamat teams to track transactions, invoices, services, and customer activities with real-time visibility.
Wallet balances, invoices, and service data were distributed across ERP, CRM, and manual processes.
How We Solved It
We built a centralized web platform that integrates ERP and CRM systems to present a unified wallet and service management experience.
Customers had limited visibility into balances, transactions, and invoices.
How We Solved It
We introduced a customer dashboard displaying wallet balance, recent transactions, invoices, recharge history, and alerts.
Tracking wallet recharges and invoice payments required manual reconciliation
How We Solved It
We integrated an online payment gateway with automatic ERP synchronization to update wallet balances and generate receipts.
On-call service requests were not seamlessly linked to customer contracts and operations.
How We Solved It
We implemented an on-call service request module synced with CRM for contract validation, scheduling, and operations.
Ensuring sufficient wallet balance before service execution was operationally complex.
How We Solved It
The system enforces minimum balance rules while allowing request creation with clear alerts and execution controls.
Internal teams lacked a consolidated view of customers, wallets, services, and transactions.
How We Solved It
We built internal dashboards and a 360-degree customer view covering wallet, invoices, services, and transaction logs.
Different departments required controlled access to system data.
